Q: Hi Martin, as Ashtons’ longest-serving team member, you’ve been a vital part of the company for the majority of its 40 years. What are your earliest memories of Ashtons when you first joined?

Martin: When I joined, Ashtons was a late-night community pharmacy in Brighton, which stood out at the time because there were very few out-of-hours pharmacies around. Ashtons has always been known for being innovative, and I joined just as we started offering services to care homes in the Brighton area.

I remember the owner back then, Laurence Sprey, taking me to America to research how they were delivering services to care homes. We came back inspired and introduced our own system for dispensing medications in blister packs. It helped care home staff administer medications safely and efficiently, leading to fewer errors. We also developed printed medication administration records (MAR sheets), and Ashtons became the first UK pharmacy to offer colour-coded charts specifically designed for our clients. Before long, we were serving over 100 care homes, offering not just medication but also a visiting pharmacist and out-of-hours support. It really positioned Ashtons as a pioneer in pharmacy service provision in the UK.

Q: What was the initial vision for Ashtons back then, and do you think it still resonates today?

Martin: The vision has always been to provide a high-quality, responsive service to our clients. We had a dedicated dispensary focused on producing blister packs and MAR sheets. It was clear early on that some of our clients needed more specialised care, like hospices and independent hospitals, so we tailored our approach to better serve them. That drive to offer quality service and adapt to the needs of our clients is still very much part of Ashtons’ DNA.

Q: Speaking of independent hospitals, what impact did that move have on Ashtons?

Martin: In the 1990s, there was a shift towards making the regulation of care homes and independent hospitals more consistent across the UK. New national standards were introduced, and as a result, independent hospitals and hospices needed more clinical input and medicines management support from pharmacists. That’s where we came in. Ashtons started providing these services, and I was involved in setting up some of the earliest outsourced pharmacy services for hospitals and hospices. It was a game-changer for us and the sector.

Q: Ashtons grew rapidly during that time. How did these new services develop?

Martin: Laurence and I worked closely to innovate and evolve our services. One of our first big developments was creating prescription charts for hospitals, based on feedback from clients who were struggling with regulatory inspections. We were always responding to client needs, whether that meant designing new charts or introducing a visiting pharmacist service.

Q: What would you say put Ashtons on the map as a leading pharmacy service provider?

Martin: Initially, it was our focus on independent healthcare providers, particularly mental health hospitals and hospices. We developed a level of clinical expertise that was specifically tailored to their needs. Our reputation grew through word of mouth, and hospitals started approaching us for pharmacy services.

Q: What’s been the most significant challenge Ashtons has faced during your time here?

Martin: The most significant challenge has been navigating the complexity of healthcare and developing services from scratch. Independent healthcare providers have different regulatory requirements compared to the NHS, so we had to create something entirely new that catered specifically to their needs. Healthcare is inherently high-risk and heavily regulated, so it’s a challenge we’ve embraced from day one.

Q: Over the last decade, Ashtons has increasingly moved towards digital solutions. What led to that shift?

Martin: It started with our Ashtons Live View clinical audit and communication tool, which evolved out of the need for better communication between our pharmacists and hospital staff. Initially, we relied on paper records, but as the need for real-time communication became apparent, moving to an electronic system was the natural next step. The system allowed us to send emails directly to all the necessary parties, improving communication and feedback. Soon, 100% of our hospital clients were using Live View. This is now a key part of our service, having been proven to reduce prescription chart errors by up to 56%.

Q: Looking ahead, how do you see Ashtons continuing to evolve with the digital transformation in healthcare?

Martin: The way we interact with clients through digital solutions like Live View and our electronic prescribing system, Ashtons e-Works, will continue to evolve. We have developed ways to integrate these systems with hospitals’ own electronic health records, which would streamline communication even further. The Department of Health’s push towards a paperless environment is something we’re keen to support. Ultimately, these innovations will improve patient safety and outcomes, which is our primary goal.

Q: How do you think pharmacy services will change over the next decade?

Martin: Since the launch of our Ashtons e-Works electronic prescribing and medicines administration system in 2021, we’ve realised that it’s now clinically possible for pharmacists to review a patient’s prescription charts and administration records remotely. Digital solutions open up new opportunities for how we deliver services. For example, we can now offer remote training webinars, allowing us to reach more staff across multiple hospitals at the same time.

Q: Finally, what are you most proud of when you reflect on Ashtons’ journey?

Martin: I’m incredibly proud of our commitment to providing high-quality services to healthcare providers that enhance patient safety and improve patient care. For example, when the Carter Review was published in 2015, looking at efficiencies within the NHS, we found that our services already met the requirements. That felt like a huge validation of the work we’d been doing for years. It’s been a privilege to be part of Ashtons’ journey, and I’m excited to see what the future holds.

St Christopher’s Hospice chooses Ashtons

St Christopher’s, which is widely recognised as the first modern hospice, used to be supported for pharmaceutical services by an NHS trust. The move to Ashtons will ensure that it can continue to source the medications that it needs while accessing specialist audit, advice and support.

Ashtons will supply a pharmacist and a pharmacist technician five days per week and back this up with its 365-day-a-year out-of-hours information service.

St Christopher’s Hospice was founded by Dame Cicely Saunders in 1967 and now provides care and support for people across the five London boroughs of Bromley, Croydon, Lambeth, Lewisham, and Southwark.

It operates three wards at its base in Sydenham and an extensive range of day care services, including clinical care and creative and complementary therapies. It is also committed to education and research.

Ashtons has its roots in a community pharmacy established in Brighton in 1984. Over 40 years, it has expanded to offer pharmacy services to care homes, mental health hospitals, and hospices.

It now has a team of 60 clinical pharmacists who provide audit and advice services to healthcare organisations, supported by its head office in Brighton. Its services comprise medicines supply, medication review, audit and regulatory compliance, and e-learning and training.

Ashtons also has a strong commitment to digital. Customers can access its services through a Virtual Hub while visiting pharmacists report back through Ashton’s Live View, so organisations can see audit information and advice live and in real-time.

Ashtons also provides the e-Works electronic prescribing and medicines administration system to hospices, care homes, mental health facilities and other organisations that need a modern, cloud-based, EPMA.

A Vision Born in 1984

In 1984, Ashtons Late Night Pharmacy was established and laid the foundation for the company we know today. From the very beginning, there was a clear vision — to revolutionise pharmacy services in Brighton, offering more than just medication dispensing but comprehensive healthcare solutions.

The potential to expand beyond the traditional community pharmacy model was soon identified. By recognising the specific needs of care homes, Ashtons Pharmacy Care Services was born. This pioneering approach led to the development of pharmacy services that soon supported 120 care homes in the Brighton area alone, setting the stage for Ashtons’ future growth.

Expanding Horizons: Independent Hospitals and Hospices

The 1990s saw a significant shift in Ashtons’ focus towards independent mental health hospitals. In 1995, our partnership with Priory Healthcare Brighton & Hove marked a new era. It paved the way for the creation of bespoke medicines management solutions that continue to evolve today.

By 1997, Ashtons had expanded further into the healthcare sector, working with its first hospice, The Martlet’s Hospice in Hove. This marked the beginning of our commitment to providing specialised solutions for palliative care, further broadening our impact on patient outcomes.

Innovation and Digital Transformation

In 2005, Ashtons Hospital Pharmacy Services became its own limited company, separating from Ashtons Late Night Pharmacy. This separation allowed for a renewed focus on innovation, enabling Ashtons to develop cutting-edge pharmacy services. As we expanded our offerings, training and e-learning platforms were introduced, helping healthcare providers ensure safe and effective medication management.

Our commitment to innovation led to a major milestone in 2014 with the release of Ashtons Live View, a revolutionary pharmacy reporting system. Live View not only improved reporting processes but also significantly reduced medication errors by 56% across all sites that adopted the system. The success of this software was a clear indication of the role technology would play in the future of healthcare.

A Digital Future: Ashtons e-Works

The pandemic year of 2020 did not slow us down. With new investment from LDC, Ashtons embraced a digital-first approach, leading to the launch of Ashtons e-Works in 2021, our award winning electronic prescribing and medicines administration (EPMA) system. Seven years in the making, e-Works is designed to enhance patient safety and outcomes. It has been proven to reduce prescribing errors by up to 88% and medicines administration errors by up to 94%, showcasing its pivotal role in improving healthcare services.

Our digital solutions have been widely adopted by healthcare providers, with Ashtons reaching 300 clients by 2023. These advancements have cemented our position as a leader in digital pharmacy solutions, laying a strong foundation for the future.

A Bright Future Ahead

2022 saw the introduction of our new brand, solidifying our vision as we look towards a future driven by digital innovation and customer-centric solutions. This was soon followed in 2023 by the introduction of a new management team, led by Stephen Tuddenham. Now, with a nationwide team of over 60 clinical pharmacists and a dedicated support team, Ashtons is committed to continuing our legacy of excellence.

Priory signs a new five-year agreement with Ashtons

Priory has signed a new, five-year agreement with Ashtons that underlines its commitment to improving the management of medicines, following the roll-out of the e-Works electronic prescribing and medications management system.

The contract covers the full range of services offered by Ashtons, which encompass medicines supply, expert audit and clinical advice from pharmacists, training and e-learning for staff, and the e-Works software solution, which was rolled-out to all 53 of Priory’s mental health facilities last year.

Priory will also become the first healthcare provider to implement the Ashtons 2.0 programme, which will enable pharmacists to offer more regular advice remotely, using the information captured by e-Works to reduce the need to visit hospitals to review paper charts.

Priory is the UK’s largest, independent provider of mental health and social care services. It has a long-standing relationship with Ashtons that goes back to 1997, when the company started to provide medicines to one of its hospitals.

Since then, Priory has gone on to choose Ashtons to provide medicines for all its facilities and adopted its learning and pharmacy services, which see expert pharmacists go on site to review prescription charts and provide advice to prescribers and medicines administrators.

When Ashtons launched e-Works in 2021, Priory chose to pilot the EPMA system at one of its mental health hospitals. A study found the shift away from paper-based prescribing practices led to a significant reduction in error rates.

Patient detail errors were reduced by 87%, prescription errors by 85%, and administration errors by 93%. Following the successful trial, Priory decided to implement e-Works at all 53 of its mental health hospitals.

Planning and implementation of the system took just 14 months, finishing early in 2024. The implementation will not only improve prescribing safety, but enable the development of the Ashton’s 2.0 programme, which will enable more pharmacy services to be delivered remotely.

e-Works is a cloud-based EPMA system that can be securely accessed using a modern browser from any device with an internet connection. It includes decision support for prescribers and a medicines administration scheduler to help administrators to ensure that patients get the right medication at the right time.

The system is designed to meet the needs of healthcare providers, and is widely used by hospices and clinics, as well as in mental health. One of Priory’s hospitals became the 100th site to implement e-Works during the roll-out, and the system is now in use at more than 130 sites across the UK.

Exciting new developments, set to be adopted by Priory under the new contract, include an enhanced stock management module. This upgrade will streamline the review of medicine supplies, simplify the ordering of new stock, and improve the management of controlled drugs.

With approximately 98% of its patients referred by the NHS, Priory plays a vital role in the UK’s mental healthcare system, providing specialist treatments to individuals experiencing a wide range of mental health challenges. Challenges faced by Priory:

Managing medication safety and effectively is a significant challenge for all healthcare providers. Priory identified that the process of using handwritten paper prescription charts to record the prescribing and administration of medication for inpatients could be improved by using an electronic prescribing and medication administration (EPMA) system.

In response to these challenges, Priory sought a solution that would reduce the risk of errors when prescribing, improve the process of administering medication correctly, enhance clinical reporting, integrate with existing electronic care records, and improve operational efficiency.

Ashtons e-Works incorporates clinical decision support tools to provide healthcare professionals with confidence during the prescribing process, for example regarding drug doses, potential adverse drug interactions and contraindications. This helps mitigate medication errors and promotes improved treatment, optimising patient care.

These significant improvements in prescribing and administration cannot be replicated by using paper prescription charts and the opportunity to utilise digital clinical data in real time facilitates continuous improvements in medicine optimisation.

Priory’s Decision to Move to e-Works:

Priory made the strategic decision to transition from a paper-based medication management system to a streamlined electronic one based on the drive towards paperless healthcare by the Department of Health. This was underpinned by their commitment to patient safety and a desire for data-driven insights. Priory’s confidence in Ashtons due to their long-standing partnership made choosing e-Works an easy decision.

The implementation process was meticulously planned and executed, with comprehensive e-learning modules and a carefully phased rollout strategy. Despite initial apprehensions, the transition to e-Works was met with enthusiasm by Priory’s teams, with any teething issues promptly addressed by Ashtons’ dedicated support team.

The wider implementation of e-Works across the Priory was a significant challenge that Ashtons rose to and successfully delivered, as noted by Stephen Tuddenham, CEO of Ashtons, “Over the past 12 months, Priory’s adoption of e-Works has contributed to an impressive period of growth for the system. The success of this remarkable roll-out, covering 53 Priory sites, is a testament to our collective resolve and unwavering dedication to delivering innovative digital-first medicines management solutions for our clients, which was a key factor in the Priory’s decision to adopt e-Works across their organisation”.

Benefits:

The implementation of e-Works at Priory has helped deliver excellent results related to medication management practices and patient safety outcomes. This was initially seen at the trial site, but these results are now also starting to be delivered across the organisation.

Specifically, the trial revealed significant reductions in error rates across key metrics, providing compelling evidence of e-Works’ efficacy in enhancing medication safety. Patient Detail Errors were slashed by an impressive 87%. Prescription errors were reduced by a notable 85%. Moreover, administration errors, a persistent challenge in healthcare settings, saw a remarkable decrease of 93%. As noted by Adrian Cree, “The implementation of e-Works at Priory has been nothing short of transformative. The trial demonstrated a remarkable reduction in medication errors, paving the way for enhanced patient safety and operational efficiency.”

The remarkable success achieved during the trial serves as a testament to the transformative impact of e-Works on medication management practices. By extrapolating these error rate reductions to the broader Priory, the implementation of e-Works could potentially lead to a 90% reduction in errors across the entire organisation.

The improvements e-Works will deliver across the Priory are already evident following the roll-out at further sites, with the previous rate of administration errors, ranging from 1.6% to 1.8%, significantly dropping to a mere 0.03%. This substantial reduction, amounting to 98.3%, represents a noteworthy achievement that is poised to yield tangible enhancements in patient safety.

Martin England, Chief Pharmacist of Ashtons, underlines the importance of such a significant drop in medication errors, “Seeing such a significant drop in medication errors across the Priory hospitals following the implementation of e-Works, is a profound testament to its transformative impact and validates our belief that e-Works is key to delivering better patient outcomes. The successful completion of the Ashtons e-Works installation across 53 Priory sites in February 2024 stands as a remarkable milestone, underscoring its profound impact on them. This groundbreaking project, achieved in under 14 months from the pilot site to full rollout, reflects the efficiency and dedication invested in its seamless execution.

Value and Savings:

While it’s too early to quantify the full extent of the financial and operational savings, Priory acknowledges the significant potential for future benefits. The transition to e-Works streamlines reporting processes, enabling faster and more accurate data analysis. Improved usage tracking ensures better resource allocation and inventory management, contributing to enhanced operational efficiency and cost-effectiveness.

Without e-Works, Priory would be forced to revert to time-consuming and more error-prone paper-based systems, severely impacting operational efficiency and potentially compromising patient safety. The implementation of e-Works not only addresses current challenges but also lays foundations for long term efficiencies and enhanced patient outcomes.

As noted by Adrian Cree, “As e-Works continues to establish itself within our operations, we foresee even greater benefits, including streamlined reporting processes and improved resource allocation. This lays the groundwork for long-term savings and enhanced healthcare delivery.”

Environmental Initiatives

Energy Efficiency We have taken significant steps to reduce our energy consumption. Motion sensor lighting has been installed, and energy-efficient LED lighting is now used throughout the warehouse. Additionally, our head office features energy-efficient lightbulbs, all of which have contributed to a notable reduction in energy use.

Electronic Operations Our payroll, expenses, and invoice approval processes are now fully electronic. This transition has reduced our paper usage and improved overall efficiency, aligning with our commitment to minimizing our environmental footprint.

Water Consumption By switching from bottled drinking water to filtered mains-fed water, we have reduced our plastic bottle usage by 432 bottles per year. This change has also cut unnecessary delivery miles by 8,064 miles annually and saved 2,280 kilos of CO2 emissions per year.

Energy Supplier We have switched our energy supplier to EDF, Britain’s largest generator of zero-carbon electricity. This move supports our goal of using sustainable energy sources.

Packaging Reduction Through the use of temperature-controlled deliveries to our clients, we have achieved a significant reduction in passive packaging, further minimizing our environmental impact.

Social Initiatives

Client Engagement We have encouraged our clients to use electronic versions of the British National Formulary (BNF), reducing the need for printed materials and supporting our sustainability goals.

Awareness Campaigns Our commitment to fostering an inclusive and supportive work environment is demonstrated through our active promotion of various awareness campaigns, including Mental Health Awareness Month, International Women’s Day, Stress Awareness Month, and Pride Month.

The need for an offline backup solution with Ashtons e-Works is rare. e-Works is an extremely reliable electronic prescribing and medicines administration (EPMA) system, with an uptime of 99.97% over the last 3 months. This equates to downtime of just one hour of downtime per year.

However, to ensure you with complete peace of mind that your patients’ prescribing and administration data is safe and always available to you, we provide a complete offline backup solution with Ashtons e-Works.

The backup system allows you to retrieve and store prescription and medicines administration data from the Ashtons e-Works platform, for use in the event of a rare connectivity failure to the e-Works platform. This ensures you will never be unable to prescribe or administer your patients’ medication.

How the offline backup works:

Ashtons e-Works Offline Backup Solution is an application installed on a local Windows machine. The application connects to the cloud-based e-Works platform at 5-minute intervals and downloads information available for the configured site(s).

In the event of connectivity failure, the application can then be used to print pre-populated MAR charts to ensure safe and accurate administration of medicines.

  • Pride-Themed Teams Backgrounds: Pride-themed Teams backgrounds will be available for all of our staff to use throughout June.
