Description
Purpose of the role:
The Quality Assistant is responsible for updating and maintaining the Ashtons Quality Management System, ensuring all records are up to date, accurate and are reviewed when due.
Principal Accountabilities:
- To assist with maintaining Ashtons Quality Management System to ensure adherence to GDP and GPhC.
- Review of Standard Operating Procedures, ensuring every SOP is reviewed at least every 2 years or when a process change is proposed.
- Change Control – ensure documentation is filed and updated with any progress throughout the change control process.
- Event log and complaints records – Liaise with relevant departments to ensure all entries are closed and all data recorded. Review and produce data including trend analysis for management review meetings. Ensure complaints and events relating to a deviation are documented thoroughly and followed through to conclusion.
- Co-ordinate reports and documentation for the Quality Management Review Meetings
- To manage the administration and documentation relating to outsourced activities and transport suppliers – ensure review meetings are carried out and documented.
- Monthly review of training records and liaise with Department Heads to ensure training and refresher training is completed when due.
- Monitor product recalls and field safety notices to ensure actions are carried out and all documentation and records are completed.
- To assist with customer validation and Bona Fides checks, recording evidence. Contact customers for appropriate documentation to complete the periodic validation checks.
- Complete audits of Wholesale CD orders and monitor unusual sales patterns.
- Monitor and follow up expiring CD licences required for customers ordering CD’s as Stock. Audit schedule 2 CD orders placed and compare with current licences.
- To assist with self-inspections and related documentation including monitoring of outstanding actions and updating records.
- Any other reasonable duties which may be required by The Responsible Person. There is development within this role to expand duties and responsibilities such as auditing, writing SOP’s, Risk Assessments and other duties performed by the Quality Team.

Desirable Skills:
- Knowledge of MHRA and GPhC Regulations
- Understanding of GDP Principles and how they apply to our Business
- Excellent knowledge of the English language essential
- Excellent general knowledge desired
